IT support for your industry

Property management

Resident data, payment processing, and a dozen small offices that all need to work. One team, one number, one standard everywhere.

What this fixes

Property management combines three things that are individually manageable and together are difficult: sensitive personal data at volume, payment processing, and a physically distributed operation with high staff turnover.

Resident and applicant files hold everything an identity thief wants, full name, date of birth, Social Security number, banking details, income documentation. Applications that were never approved often sit in a shared folder for years. If you accept card payments for rent or fees, PCI DSS obligations attach to how that is handled, including through your management platform.

Operationally, you are running a head office plus leasing offices and on-site staff across many properties, each with its own network that somebody set up at some point. Turnover in on-site roles is high, which means onboarding and offboarding happen constantly, and offboarding is the one that gets skipped. Vendors and contractors need access to buildings and sometimes to systems. Increasingly, building systems themselves, access control, cameras, HVAC, smart locks, sit on a network, and rarely a separate one.

And like construction, property management moves money on schedule, which attracts payment-redirection fraud around deposits and owner distributions.

What is included

The support and controls we plan around your organization. Compare our plans.

  • Resident data protection

Access controls by role, encryption, and a retention schedule that actually deletes applications you are no longer required to keep. The cheapest way to protect data is to stop holding data you do not need.

  • Multi-site networking to one standard

Leasing offices and on-site networks built and managed the same way, so support does not depend on which property called and who wired it originally.

  • Payment handling that reduces your exposure

Configuration and segmentation that keeps card data out of systems that do not need it, and a clear picture of where your PCI obligations actually sit.

  • Onboarding and offboarding that runs every time

A defined process triggered by your HR or property system, so the site manager who left in March does not still have access in September.

  • Building systems on their own segment

Cameras, access control, and smart devices separated from the network holding resident data, so a vulnerable door controller is not a path to your files.

  • Platform support

Day-to-day support and vendor coordination for the property management system your business runs on, so you are not the one on hold.

  • Wire and deposit fraud defense

Email authentication, impersonation protection, and a verification process for banking-detail changes.

Questions we get asked

Have a question about your setup? Include it in the form below.

We have twelve properties and twelve different setups. Where do you even start?

With an inventory. You cannot standardize what you have not catalogued, so the first thirty days are discovery and a prioritized plan, usually starting with the sites carrying the most resident data and the least protection.

Our on-site staff turn over constantly. Can you keep up?

Yes, and it is one of the highest-value things we do. The process is triggered by your system of record rather than by someone remembering to send us an email.

Does our management software vendor handle security?

They handle their platform. They do not handle your network, your devices, your email, or who in your company can see what. That gap is where most incidents happen.

Not sure where you stand?

The free external risk analysis shows you what an attacker can already see, no software installed, no access to your systems. Or book thirty minutes with a senior engineer and we will tell you the one thing we would fix first.
